There are several smaller ancillary spaces available for rent at the Vancouver Civic Theatres. The most popular of these spaces are the Queen Elizabeth Salons, but we also offer options for theatre lobbies, rehearsal halls, and other spaces.

Queen Elizabeth Theatre Salons

Queen Elizabeth Theatre Salons are versatile and available for use individually or combined to create a larger space.

Hosting meetings and receptions for 20 to 220 people, Salon rental includes access to available equipment and a rental coordinator.

Salons A, B, and C are flexible. Combine them for extra room:
A + B, B + C, and A + B + C.

Salon rental fees

Effective September 1, 2016 – August 31, 2017
  • Full day rental: $360.00
  • Half day rental: $180.00
  • Facility fee: $1.00 per person or ticket sold (not applicable for registered non-profit productions)
  • Taxes are extra. Labour is extra. Fees may change at any time.

  • Rental Terms
Rental period
  • Full day rental: 8:00am – 12 midnight
  • Half day rental: 4 hours
Rental conditions
  • All bookings are tentative until a formal licence agreement has been executed and a deposit paid.
  • One hour preparation time and one hour for clean-up are included in the rental.
  • Additional rental time, if available, is charged at the hourly rate plus all staff costs.
  • For a daytime rental, guests are welcomed after 8:00am; for an evening rental, guests are welcomed after 6:30pm.
  • Evening rental hours may straddle daytime/evening periods if space is available.
  • Rental fee includes access to an event coordinator and the initial meeting style set-up. Additional charges will apply for additional staff and services.

Salon services

Food and beverage
  • All of the Salons have access to a catering area. Salons A and B have a built-in bar, and Salon C is adjacent to the catering area.
  • Outside caterers provide food services.
  • All beverage services are provided by Vancouver Civic Theatres.
  • Basic beverage service includes disposable cups.
  • Premium beverage service includes glassware which is charged on a per unit basis.
Service staff
  • All Salon staffing is charged on an hourly basis.

Equipment and furnishings

General guidelines
  • Equipment and furnishings for the Salons are provided based on availability. Additional furnishings and equipment may be rented as required.

  • 180 chairs
  • 7 - 5' round tables
  • 7 - 5' round tables convertible to 3'-6" square tables
  • 17 - 2'-6" x 6' rectangular tables
Presentation equipment
  • The Salons are equipped with a sound system, wireless microphones, and a podium. Salon A also has a projector and screen.

Terms and conditions

Booking confirmation
  • To confirm your booking, sign your license agreement and pay the non-refundable deposit.
Insurance
  • All users of Vancouver Civic Theatres facilities are required to provide insurance coverage.
  • A certificate of Public Liability and Property Damage Insurance for a minimum of $2,000,000 coverage per event is required.
  • The City of Vancouver must be included as the added insured.
Shipping and storage
  • Storage space in the Salons is not available.
  • Material and equipment must arrive on the day of the event; advance shipments will not be accepted.
Decorating
  • Any Salon decorating must be approved by the theatre staff in advance.
  • Only pre-approved attachments will be allowed: attaching any decorations to finished surfaces with nails, screws, or tape is not acceptable.
  • Salon users must include decorating time within the rental period.
Payment
  • Non-refundable deposit is required and can be paid by cash, cheque, or major credit card.
  • If deposit is paid by cheque, the licence agreement is not valid until the cheque has cleared.
  • The balance of the rent and any other amounts owing under the licence agreement are due two full business days before the event.
  • Any additional charges incurred during or after the event are due when invoiced.
  • In the event of cancellation, the deposit is forfeited and any accumulated charges become immediately due.
  • For events where there is risk of damage to the premises, a security deposit of $2,000 may be required.
  • All rates and fees are subject to venue rental taxes.
